Background:
The organization sought to transition from an outdated LMS to a modern platform with more advanced capabilities to improve training engagement and align with the company’s growth strategy. The project needed to accommodate over 700 full-time team members and 100+ contractors across 20 states, each with unique compliance standards. Additionally, 123 distinct job profiles required tailored training assignments to ensure role-specific learning outcomes. Despite the new platform's enhanced features, its default UI was poorly designed and required a complete overhaul to make it functional and user-friendly.
Design Challenge:
Seamlessly migrate all users, content, and training programs to the new LMS while coding for state-specific compliance standards and assigning unique training paths for 123 job profiles. Redesign the subpar UI to improve usability, ensure accessibility, and increase engagement. Introduce enhanced features, such as gamification and a modernized design, all under a tight deadline to launch before the high-demand turn season.
KPI:
Successfully complete the LMS transition by June, ensuring the system was fully functional for turn season starting in July.

Working with SME
For this project, collaboration with Subject Matter Experts (SMEs) and key stakeholders was vital to transforming the LMS into a highly functional, user-centric platform. Rather than just gathering technical requirements, I worked closely with distinct groups to solve specific operational challenges:
Frontline Team Members (Bilingual Training Needs): I consulted directly with individuals requiring Spanish-language training to understand their learning barriers. This firsthand feedback ensured that the migrated content and custom compliance paths were fully accessible and culturally inclusive.
Marketing Department: Partnering with Marketing was essential to solving the UI design challenge. Together, we tackled critical questions regarding the look and feel of the platform, finding innovative ways to simplify navigation, remove visual clutter, and establish a cohesive, modern brand identity.
Director of L&D and HR: To ensure the redesign solved real-world problems, I collaborated with the Director of L&D and HR to analyze the most frequent inquiries and pain points they received from users. By building the new system directly around the answers to these common questions, we proactively eliminated user confusion and streamlined administrative workflows.
Through weekly alignment meetings and iterative feedback loops, these collaborations allowed us to validate every stage of the custom compliance coding, job-profile learning paths, and gamification features—ensuring the final product met both regulatory standards and user expectations.
Final Thoughts
This LMS transition was a comprehensive transformation, executed under a tight deadline to ensure readiness for the organization’s busiest season. Despite the challenges posed by the platform's poor default UI, we successfully overhauled its design, creating a streamlined and intuitive interface. By integrating innovative features like gamification and achievement tracking, alongside state-specific compliance coding and tailored training assignments for 123 unique job profiles, the new LMS exceeded expectations. Its enhanced functionality and modular design ensure the system remains adaptable and scalable, setting a new benchmark for organizational training success.
